Exhibitor Terms & Conditions

Your Vendor Space:

Vendor spaces are reserved for you at the festival, based on the dimensions you request. If you require a larger space, or any special needs regarding your vendor space, we need to know about them before the event. Day of is too late.

Terms and Conditions:

Vendor passes will be provided to an individual only if they are on your list as an employee, athlete, or VIP. If you have not requested a pass for them prior to the event they will not receive one. Anyone with a vendor pass, found in violation of festival rules, may have their vendor pass removed. Vendor passes must be picked during vendor setup, or at event registration.

During festival hours we cannot have vehicles driving through the venue. Festival hours are Friday 9 a.m.-6 p.m., Saturday 9 a.m.-6 p.m., and Sunday 9 a.m.-5 p.m. starting at 5 p.m. on Sunday evening you can get a vehicle into the event for breakdown. We will not allow vehicles into the event before 5 p.m. Sunday.

Bike Demo Rules:

The event does not open until 9 a.m. each day. Please do not setup any bikes for festival participants prior to 9 a.m. Festival participants who try to pick up a demo bike prior to 9 a.m. will be asked to leave the festival.

Insurance:

We will need to get a certificate of additionally insured from you with a minimum of $1,000,000 in liability coverage. These can be uploaded here, emailed to info@sedonamtbfestival.com or mailed to Sedona Mountain Bike Festival LLC, 1695 West highway 89a, Sedona, AZ 86336. This is what needs to be shown as the name insured: Sedona Mountain Bike Festival LLC 1695 West highway 89a, Sedona, AZ 86336

Payment Terms:

Cancellations:

All cancellations must be 30 days in advance for a full refund. No refund will be given inside 30 days of the event start date. Cancellations must be submitted in writing to info@sedonamtbfestival.com. Refunds will be sent out within 10 business days of a cancellation request.

Requirements:

It is the vendors responsibility to have tents properly anchored down in case of wind. If we find any tents not properly secured we will ask that they be collapsed until they can be properly anchored.

Its is the responsibility of each demo program to get a liability waiver and a participants information and Identification when sending them out with a bike.

Photos:

Their will be event photographers at the event taking photographs. You recognize that the Sedona Mountain Bike Festival may use a photo of you, your brand, or your likeness. You further recognize that these images are the sole pepperioty of Sedona Mountain Bike Festival and may be used in the future.
